Sifting through hundreds, if not thousands, of emails to find that one important message is frustrating and time-consuming. And let’s not even get started on the stress it can cause.

There are several techniques on how to reduce email overwhelm but one of the biggest leadership roadblocks we see at Awesome Journey, are leaders feeling like they need to be involved in all communication, specifically all emails and don’t see the repercussions.

The Importance of Not Being Copied on Every Email

  1. It Reduces Information Overload: Leaders who are copied on everything spend valuable time sorting through low-priority information instead of focusing on strategic work, problem-solving, and leadership responsibilities.
  2. It Encourages Ownership and Accountability: When employees know a manager or senior leader is copied on every message, they may rely on that person to monitor conversations or step in when issues arise. Removing unnecessary CCs encourages individuals to take responsibility for communication, follow-through, and decision-making.
  3. It Builds Trust Within Teams: Healthy organizations operate on trust, not surveillance. Not needing to be copied on every email signals confidence in the team’s capability, professionalism and it communicates “I trust you to manage this.” This strengthens confidence and autonomy across the organization.

Tips & Tricks at a Glance

  1. Reduce Volume: Regularly review distribution groups and ask yourself, do I need to be part of this group?
  2. Clean Up Your Inbox: If you’ve actioned an email but need to keep it for future reference then file it away so that only emails that still require action are left in your inbox.
  3. Storage: Delete emails that you no longer need rather than storing them to make it easier to find necessary information.
  4. Make Contact: If an email is likely to result in multiple exchanges, setup a meeting or call to discuss the topic and then send only a recap of the conversation to the group for future reference if needed.

Emails are a great tool for relaying information to multiple people at once and creating a record that you can go back to if needed but if they aren’t organized and relied on too heavily, they can suck a tremendous amount of time and productivity from your teams.
